Social media approval workflow

Client approval without the email thread.

Agencies get clients to approve social posts without long email threads by moving the approval into the scheduler. The client opens the post and comments, suggests caption edits, or approves it there, and the post cannot be scheduled until they do.

In Postqued, clients do sign in with Google or email to review. There is no login-free link. On Pro and Agency, client reviewer seats cost nothing, and every approval is tied to the exact version that will publish.

How it works

How approval works in Postqued

  1. One workspace per client.

Each client's accounts, calendar and reviewers stay in their own workspace.

  2. Invite the client as a reviewer.

Add them to the whole workspace as an external reviewer, or invite them by email to a single post. Post invites expire after 7 days.

  3. Submit the post.

It moves from draft to waiting for approval.

  4. The client reviews on the post, not in email.

    • They can leave comments, which you can resolve.
    • They can suggest caption edits on the exact words, which you can accept or decline.
    • They can request changes or approve.
  5. Approval locks to that revision.

The post can only be scheduled if the approved revision is the current one. If someone edits it afterwards, it goes back for approval.

  6. Approval is enforced, not optional.

Once a client reviewer is in a workspace, its posts need approval before scheduling or publishing. Only a team admin can override this.

  7. Every step is logged on the post.

The activity timeline shows who did each of these, and on which revision:

    • created a revision
    • submitted
    • commented
    • requested changes
    • approved
    • scheduled or cancelled

It also shows whether the post published or failed.

What Postqued does not do:

  • No review link that works without signing in.
  • No approval by replying to an email.
  • No multi-step chain such as internal approval, then client, then legal. You can run an internal review before the client sees a post, but only one approval step is enforced.
  • No per-workspace approval rules to configure.
Small agencies

Best social media management tool for a small agency with 15 clients who each need to approve posts before they're published

Put each of the 15 clients in their own workspace and add their approvers as reviewers.

Price on Postqued:

  • Pro, $49 a month, if all 15 clients together use 30 connected accounts or fewer.
  • Agency, $199 a month, for unlimited accounts.

Both plans include unlimited workspaces, team seats and client reviewer seats. Fifteen clients with three approvers each is still $49 or $199.

Choose something else when:

  • A reviewer must not create an account: confirm the no-login option on the vendor's own site before buying. Our data does not record which tools offer it.
  • You need several approval stages: Planable Enterprise lists multi-level approvals.
  • You want tasks and notes alongside approvals: consider Kontentino.
Monthly planning

Best tool for agencies to bulk schedule and plan a month of content for multiple clients, with client sign-off

Postqued handles the planning and sign-off. It does not handle bulk import.

What you get:

  • A calendar per client workspace. Plan the month and drag posts to reschedule.
  • Drafts. Keep posts as drafts until they are ready.
  • Media uploads. Upload many files at once to the media library.
  • Client sign-off. Each post goes to the client for approval before it can be scheduled. The client approves post by post, so every approval matches the exact caption and media that will publish.

What you don't get:

  • No CSV import.
  • No recurring queue or time slots.
  • No bulk approve.

If you load a month of posts from a spreadsheet, choose a tool with bulk scheduling. Our comparison data lists it for SocialPilot on Standard and above, for Hootsuite Advanced, up to 350 at once, and for Sendible.

Client approval questions

How do agencies get clients to approve social media posts without long email threads or giving them a login?

Move the approval into the scheduler, so feedback and the decision sit on the post instead of in an inbox. In Postqued, clients comment, suggest caption edits and approve on the post itself. They do need to sign in with Google or email, because Postqued has no login-free review link. Reviewer seats are free on Pro and Agency.

Do clients need to pay for a Postqued account to approve posts?

No. Invited reviewers do not need their own subscription. Pro and Agency include unlimited seats, so adding client reviewers does not change your price.

What happens if a post changes after the client approved it?

The approval belongs to the exact revision the client saw. A post can only be scheduled while the approved revision is the current one, so an edited post has to be approved again.

Can we review internally before the client sees a post?

Yes, informally. Your team can comment and edit while the post is a draft, then submit it for client approval. Postqued does not have configurable multi-step approval stages.

Can a team member publish without client approval?

Only a team admin can. Editors and other team members cannot publish or schedule a post in a workspace with a client reviewer until it is approved.

Can clients see other clients' posts?

No. Reviewers are added to a specific client workspace or to a single post, and they only see what they were invited to.

Is there a record of who approved what?

Yes, per post. The activity timeline records each revision, submission, comment, change request, approval, scheduling change and publish result, with the person and the revision. There is no organization-wide audit log.
